Aproplan - Understanding the Project Overview V1 & V2 - Web version

Written by Mohamed Maghrioue

The Project Overview page is your central command center, where you can manage, search, and organize all your projects in one place.

To ensure the best experience for every workflow, Aproplan currently offers two interface versions:

  • The Classic View (V1): A simple, reliable, and straightforward dashboard.

  • The new beta version (V2): A modern, high-performance interface with advanced grouping and customization features.

In this article, we will walk you through the key functionalities of the project overview page of both versions, helping you navigate your dashboard like a pro, regardless of which view you choose to use.

Classic V1 Version:

While the V2 offers new advanced features, the Classic View (V1) remains available for users who prefer a simplified dashboard. Here is how to make the most of it:

1. V1 Project overview page:

This is how the V1 Project overview page looks like:

2. Views of the projects

The "Views" dropdown is your primary tool for filtering your project list.

  • By default, it shows your Active projects.

  • You can click the "X" on the filter tag to clear it or use the dropdown to find Archived or All projects.

3. Search and Refresh

A) Search Bar: Located at the top right, it allows you to quickly filter projects by name or code.

B) Refresh Icon: The circular arrow at the far right allows you to manually refresh your project list to ensure you are seeing the most up-to-date information from the server.

4. Layout Toggles

You can switch between a List View and a Grid View to change how your projects are displayed on the screen.

5. Project Details & Quick Actions

In the V1 Classic View, clicking the small "i" icon on a project card opens a detailed side panel. This allows you to view essential project information and access management tools without having to fully enter the project.

Project Information

The panel is divided into three main sections to give you a quick overview:

  • General: Displays the project Name, its unique Code, and the scheduled Start and End dates.

  • Address: Shows the exact location details, including street name, zip code, city, and country.

  • Logo: Displays the visual identity or thumbnail associated with the project.

Management Tools (Top Right Icons)

At the top of this panel, you have access to several administrative shortcuts:

A) Settings (Gear Icon): Jump directly into the advanced project configuration to manage your modules and project-specific preferences.

B) Copy Project (Duplicate Icon): Use this to "Copy and start a new project." This is perfect for duplicating a project structure (folders, participants, categories) for a new site.

C) More Options (Three-dot Menu): This menu hides critical administrative actions, such as Archiving the project or Deleting it entirely.

6. Creating a Project

In V1, the button to start a new project is a green floating "+" button located at the bottom right corner of your screen. Click this to open the project creation wizard.

7. Upgrade to the New Experience (V2)

If you are currently in V1 and want to try the enhanced features, simply click the green button at the top left labeled "Try out the new projects page." This will instantly take you to the V2 (Beta) interface.

V2 Project Overview page (Beta)

The Project Overview is your landing page in Aproplan. The V2 (Beta) version offers a modern, card-based interface designed to give you a clearer view of your active projects.

1. V2 Overview

This is how the project overview page looks like in the V2 version:

At the top left, you will see the BETA tag next to "Projects." This indicates you are using the latest version of our dashboard, which includes improved navigation and much more.

2. Creating a New Project

Ready to start? The "Create new project" button is prominently placed at the top left. Clicking this will guide you through the setup process (FAQ: How to create and configure a project).

3. Searching and Sorting

Finding a project is faster in V2:

A) Search Bar: On the top right of your screen you can type any part of a project name to filter your view instantly.

B) Sorting Menu: Use the dropdown (default: Project Name) to sort your projects by name, creation date, or last activity.

C) By clicking the downward arrow next to the search bar, you open the View options menu. This allows you to control exactly what is displayed on your overview:

  • Group all projects: Toggle this to simplify your view or group projects together.

  • Favourites group: When checked, your starred projects will appear in their own dedicated "Favourite Projects" section at the top.

  • Show archived: Check this box to view projects that have been completed and moved to the archives.

  • Show hidden: This option reveals projects that you have previously hidden from your main dashboard.

4. View Toggles (List vs. Grid)

You can choose (top right of your screen) how you see your projects:

  • List View: Best for a compact, vertical view of many projects:

On each project card, the three-dot menu (⋮) allows you to perform actions without opening the project itself, such as archiving, deleting, project info or editing project settings.

By clicking the Columns icon on the far right (highlighted by the red arrow), you can open a side panel to choose exactly which information you want to see. You can toggle:

  • Code: The project's unique identifier.

  • Created by/on: Tracking who started the project and when.

  • State: Quickly see if a project is Active or a Favourite.

You can click on any column header (Project name, Created by, etc.) to sort your projects.

V2 offers a "Row Groups" feature. You can drag any column header into the "Drag here to set row groups" bar at the top or the side panel.

  • Example: Drag "Created by" to this area to automatically group all projects according to their creator.

  • Grid (Card) View: Best for a visual overview with project images:

5. Managing your Favourites

To keep your most important projects at the top, click the Star icon on any project card. These will be grouped under the "Favourite Projects" section for quick access.

6. Project Quick Actions

On each project card, the three-dot menu (⋮) allows you to perform actions without opening the project itself, such as archiving, deleting, project info or editing project settings.

7. Switching back to the Classic View (V1)

If you need to access specific legacy features or simply prefer the old layout, use the "Go back to the old projects page" button located at the top right. You can switch back and forth at any time.
