How to Generate a Points Report - Web version

Points reports allow you to turn the points created in the application into structured PDF reports that can be shared with colleagues, subcontractors, clients, or other project stakeholders.

This guide explains the two ways of generating a points report:

  1. List Points Report: Create a report from one specific list or in list view

  2. Project Points Report: Create a report across the entire project or in full project overview

It also explains how to configure report templates so you can control exactly what information appears in your reports.

What is a Points Report?

A Points Report is a structured report containing information from the points created in your project.

Depending on your report template, you can include:

  • Point summaries

  • Detailed point information

  • Photos

  • Plans and point locations

  • Annotated drawings

  • Attachments

  • Archived points

  • Excel exports

  • Company or project branding

  • Cover pages

  • Additional information

You can also determine how points are grouped and sorted and which information should be displayed.

This allows you to create reports for different purposes, such as:

  • Weekly site meetings

  • Subcontractor follow-up

  • Customer walkthroughs

  • Internal inspections

  • Handover and snagging

  • Quality or safety follow-up

Difference Between a List & Project Points Report

Before creating a report, it is important to understand the difference between the two options.

List Points Report

A List Points Report is generated from one specific list.

Use this when you only want to report on points belonging to a particular list.

For example:

  • Weekly Site Meeting

  • Quality Inspection

  • Customer Handover

  • Safety Inspection

  • Subcontractor Follow-up

You can generate a report for all points in the list from the Lists overview screen or select only specific points by visiting the List's points overview (by clicking on the list).

Project Points Report

A Project Points Report is generated from the "Entire project" view and can contain points from multiple lists.

This is useful when you want to create a broader report across the project.

For example, you could create a report containing:

  • Only open points

  • Only high-importance points

  • Only customer handover points

  • Only specific categories

  • Only points assigned to a specific subcontractor

  • Points from several selected lists

💡 Good to know: Applying filters before generating a report allows you to determine which points should be included.

Generating a Project Points Report

A Project Points Report is generated from the "Entire project" view and allows you to report on points across multiple lists within the project.

Open "Entire project"

Enter your project and navigate to the points overview.

Make sure to select "Entire project" in the top dropdown to display points across all accessible lists.

Note: Report all points

Click on "Generate report" directly to create a report containing all points in the entire project.

Apply filters (optional)

Before generating the report, apply filters to determine which points should be included.

For example, you can filter by:

  • Importance

  • Status

  • Category

  • Subject

  • Location

  • List

  • Due date

  • Modification date

  • User in charge

  • Author

  • Project Custom fields

  • Creation date

  • Containing attachments

  • State (archived/active)

This allows you to create a focused report without having to include every point in the project.

💡 Best practice: Always apply your filters before generating the report. This keeps reports focused and ensures recipients only receive the information relevant to them.

Select points (optional)

You can report on all points matching your filters by clicking "Generate report" directly.

Alternatively, you can manually select the specific points you want to include and then click "Generate report".

Generate the report

Click on "Generate report" in the top right corner or in the bulk action menu.

The "Generate report" window will open.

Here you can:

  1. Enter a report title.

  2. Select an existing report template or create a new one.

    1. Creating or updating report templates is currently unavailable in the new points page. Go to the old points page to edit or create report templates.

  3. Select the report language.

  4. Select "Generate one report per user in charge", if required.

    1. When selecting "Generate one report per user in charge", the application automatically creates a separate report for each user in charge based on the points included in your report. Each report will only contain the points assigned to that specific user.

  5. Select the option to directly send the report by email via the application.

Afterwards, click on "Generate report" to generate the report.

The generated report will automatically be saved in the "My reports" subfolder within the "Reports" folder in the Documents section.

Generating a List Points Report

A List Points Report is generated from one specific list and includes points belonging to that list.

Open the list

Enter your project and click "Lists" in the navigation menu on the left.

Select the list for which you want to generate a report.

Alternatively, go directly to the Points section by clicking "Points" in the navigation menu. Then click "Entire project" in the dropdown at the top and select the desired list.

Choose which points to include

You have two options.

  • Option A: Report all points

Click on "Generate report" directly to create a report containing all relevant points in the list.

  • Option B: Report specific points

Click on "Generate report" in the top right corner or in the bulk action menu.

Generate the report

The "Generate report" window will open.

Here you can:

  1. Enter a report title.

  2. Select an existing report template or create a new one.

    1. Creating or updating report templates is currently unavailable in the new points page. Go to the old points page to edit or create report templates.

  3. Select the report language.

  4. Select "Generate one report per user in charge", if required.

    1. When selecting "Generate one report per user in charge", the application automatically creates a separate report for each user in charge based on the points included in your report. Each report will only contain the points assigned to that specific user.

  5. Select the option to directly send the report by email via the application.

Generate a Report directly from the Lists overview page

Enter your project and click "Lists" in the navigation menu on the left.

When hovering over a list, a printer icon will appear. Click this icon to directly generate a report containing the entire list.

The generated report will automatically be saved in the "My reports" subfolder within the "Reports" folder in the Documents section.

Report Templates: A Useful Best Practice

For example:

  • Weekly Site Meeting

This prevents you from having to configure the same report settings every time.
