LB Aproplan - Overview of the Documents Section - Web version

The Documents section in Aproplan is a centralised space where all project-related documents can be stored, organised, and shared with the participants of a project. It allows users to upload plans, reports, photos, and other files, keep them versioned and up to date, and control access based on user rights.

Documents Section Viewing Modes

There are several ways of viewing the Documents section in Aproplan. The view modes are shown below:

List Mode

1. Access the Documents section by clicking on the "Documents" button in the navigation menu.

2. To switch to the folder structure mode of the Documents section, select the entire project-level by clicking on "Entire project" from the lists button:

Note: It is not possible to switch to folder structure mode when you are viewing the Documents section on list-level.

3. After selecting the entire project-level, a folder icon appears in the top right corner. Click on the folder icon to switch to the folder structure view mode:

Folder Structure Mode

In the folder structure view mode, you can see the following data of the documents:

A) Amount of points (on the document)

B) Amount of versions (of the document)

C) Document name

D) Type of document (report, plan, picture)

E) Uploaded by (the author of the document, i.e. the person who uploaded it)

F) Upload date

Thumbnail View in List Mode

1. By clicking on the "Thumb View" button in list mode, you can view the documents in Thumbnails:

Note: By hovering over a thumnail, three dots appear. When clicking on the dots, there are several actions to choose from such as Preview, Download, Edit, Archive, Delete, Show Details of the document:

Document Functions

By hovering over a document with your cursor, you will see three extra functions appear:

1. Preview the document by clicking on the eye icon:

2. Download the document by clicking on the download icon:

3. Edit, archive, delete or show details of the document by clicking on the three dots:

Note: When you have access rights to use the above icons, they are shown in dark grey. If any of these functions is light grey, it means you do not have the necessary access rights on the whole project. Please contact the administrator of the project to get the correct access rights.

Documents Saved Views & Advanced Search

In the search bar at the top of the screen, you can click on the "Filters" button located on the left side of the search bar in order to display the active or archived documents that appear in the drop-down menu below:

1. The active documents are displayed by default.

2. Click on the "Advanced Search" button to search on operator, type, and criteria:

  • After clicking on "Advanced Search" button, the interface will appear. Aproplan will automatically filter on "All" but you can also choose to filter your documents more precisely according to different criteria:

Note: Do not forget to take capital letters into account. The data you enter in the search bar must correspond to the document's data.

Folder Visibility

By clicking on the arrow next to the folder, it will show or hide folders. When the arrow is aimed downwards, the subfolders are visible:



Adding a Subfolder

By hovering over a folder with your cursor, three dots will appear. Click on the three dots:

  • After clicking on the dots, a menu appears where you can click on "Add subfolder":

  • A window appears, in which you can input the subfolder's name and then click on the "Add" button:

Note: You cannot add any new subfolder in the "Pictures" and "Reports" folders.

The "My pictures" and "My reports" subfolders are created automatically and all your pictures and reports will be saved in these folders:

Note: When a participant in your project gives you access to their pictures or reports folders, a new folder will be added automatically with the name of the user displayed on it, for example:

Pictures - (name of user A)

Reports - (name of user B)



Exporting the Folder Structure to Excel

1. Click at the top of the folder structure next to "Folders" on the three vertical dots:

2. A menu appears, click on "Export structure" to export your folder structure from Aproplan into an Excel file:
