What is a list?

Lists are communication groups that allow you to manage and centralise communication, documents, tasks/points and inspection forms.

A list is a feature that helps you group:

  • Points

  • Forms

  • Documents

  • Participants (& access rights)

To view the different types of lists, click on Lists section in the navigation menu on the left side:

Below is an overview of the lists section:

A) List code

B) Custom created list (purple)

C) Private List & Public list (blue)

D) List title

E) Creation date of the list

F) Author of the list

G) Total points in the list

H) Total documents in the list

I) Total amount of unique participants in the list

J) Total amounts G, H & I over all lists

Public Lists

All points and forms in public lists are visible to all project participants, with the same access rights they have elsewhere in the project.

It is not possible to manage participants or access rights of the project at the list level. If you wish to change them, you have to change them on the entire project level.

By default, the system creates one public list for the whole project (the list with the blue code icon):

Private Lists

All points/forms/documents in private lists are only visible for the Private List owner.

By default, the system creates one private list for each user (the list with the blue code icon):

In that list, there is only one participant (you) and this cannot be modified. It means that you can use this list as a draft because you are the only one to see it. For example, when created drafts of points/forms look correct, you can move them into other custom lists to be used.

A user with a payed license has access to it's own default private list. This user can create other custom lists (purple code icon) that remain a private list until the user invites other participants to that list. Unlike the Private List, the owner can manage participants and access rights.

Below you can see an example of a custom created list which has 3 points, 2 documents, and 5 participants:

These personalised lists can be divided into 3 subcategories: blank lists, Quality Control Plan and Security Control Plan list:

  • Blank lists allows you to select different options regarding: the points included, the generated report and the transferred files between the participants.

  • Quality and Security Control Plan lists are offering a step by step guide to create a communication group dedicated to QHSE Form control creation within the application.

Note: Users with a free license don't see lists:

  • Basic license users will see all points and forms in the entire project (as it is the case for payed licenses) but they won't be able to navigate in a list or to filter on lists.

  • When you add users with a free license to your custom list(s), they will be able to see points and forms of that list from the entire project.

  • When free license users create a point, it is added to the public list by default. However, these users will not see the public list itself, instead they will only see their points in their personal points overview, without any indication of the list they belong to.
