An Enterprise license is required.

In this section, you will find detailed information about which actions you can perform according to your access rights on the entire project.

Note: These access rights are not the same as in lists: access rights at the project level are to define who can manage the platform itself and the configuration of the project. To define who can create and manage points, please read our FAQs about access rights at the list level (click here)

As a guest you can:

  • Invite participants (as guests) and give them access to the folders to which you also have access.

  • See and download documents and the versions of these documents, in folders you have access to

  • Create a list (Enterprise licences)

As a contributor, you can:

  • Invite participants (as guests or contributors) and give them access to the folders to which you also have access.

  • See documents and the versions of these documents, in folders you have access to, and download documents

  • Add versions to documents you have uploaded

  • Create a list (Enterprise licences)

  • Add documents and versions of documents to the folders you have access to

  • Archive the documents you have uploaded

  • Add folders to the folder structure, and remove and move the folders you have created.

These rights are perfect for participants who are working on a project on which the basic data is provided by the administrator for example. They do not need access to the settings in that case.

As a manager, you have all the rights to the data you have added to the project and you can:

  • Invite participants (as guests, contributors or managers) and give them / remove their access to the folders to which you also have access.

  • See documents and the versions of these documents, in folders you have access to, and download documents

  • Add versions to documents you have uploaded

  • Create a list (Enterprise licences)

  • Add documents and versions to the folders you have access to and edit, move, remove and archive the documents you have added.

  • Add folders to the folder structure

  • Edit and remove the settings of the project: categories, statuses, rooms etc ...

As an administrator of the project (only available on Enterprise licences), you have all the rights on the project, even on documents and folders you did not add yourself:

  • Invite participants (as guests, contributors, managers or admins) and give them / remove their access to the folders to which you also have access

  • See and download documents and the versions of these documents, in folders you have access to.

  • Create a list (Enterprise licences)

  • Add documents and versions to the folders have access to and edit, move, remove and archive the documents you have added.

  • Add folders to the folder structure

  • You can edit/archive/remove all the data of the project, no matter if you created/added these data or not.

This will become clearer when you open the access rights table by clicking on the Manage icon

on the top right corner:

Example :

To be able to edit the access rights of the participants from the entire project

(+ to manage the access to your folders, look at the invitations, link categories with participants and have an overview of all the participants in every list) :

1) Click on the participants icon in the Entire project.

2) Click on Manage in the top right corner of your screen.

3) Click then on Edit

4) This is the grid view you will see. You can adapt the access rights and do not forget to save

You will then see little check marks that indicate what the participant can and cannot do.

Note: When you invite a participant to your project, this participant is

by default a guest. You can adapt their access rights and if needed you can give the user access to the documents of the project.
