Aproplan - How to Add or Remove a License in the License Portal - Web version

The License Portal is a pilot program that allows you to add or remove licenses from Aproplan users linked to your account/contract.

Note: At the moment, the Aproplan License Portal pilot program is available for selected customers.

Introduction

The license portal has 3 sections:

  • Home: an overview of the active contracts.

  • Licenses: an overview of all the users with the license information. On that page, you can add/remove licenses.

  • Contact: you can directly contact your Aproplan Account Executive from that page.

The goals of this portal are to:

  • give you an overview of all your contracts, licenses and users.

  • allow you to add a user to your account/contract or to change the license of one of the users.

Home Page

You have an overview of all active contracts linked to your account. You can see the start date, end date, and the number of allowed or used licenses. You will not see old contracts or contracts with a start date in the future.

Note: If you want to make a change or notice that something is incorrect, please contact your Account Executive. No actions can be performed directly on this page.

Licenses Page

On the top of the page, you have the general information with the number of remaining and used licenses for all your active contracts.

At the bottom of the page, you have the license information. You can filter on a license type (A) or use the search bar on the right-middle side to find a user (B):

Removing a License

In order to remove a license, select the user by clicking the checkbox left of his name (A) and then click on the "Remove License" button (B):

After 2-3 minutes, the user will have a Free license. The number of Used licenses will decrease and the number of Remaining licenses will increase. You can then use that license for another user.

Note: You can select more than one user at a time.

Editing a License

In order to change a license type or the contract, you have to select the user and click on the "Edit License" button. Then you have to choose the license type and the contract and click on the "Update" button. After 2-3 minutes, the user will have the selected license. The number of Used licenses will increase and the number of Remaining licenses will decrease.

Note: You cannot give a license if you don't have an available license on your contract. Please go to the Home page to see the number of remaining licenses on the contract. You can select more than one user at a time.

Adding a User

In order to add a user to your account, you have to click on the "Add License" button. Then you have to fill the:

  • Display Name

  • E-mail address

  • Licenses

  • Contract: number of the contract (you can't assign a license if you don't have an available license on your contract).

When you click on the "Save" button, there can be four different cases:

1. The user did not exist:

After 2-3 minutes, the user will be created and added to your account (and contract) with the selected license. You have to warn him that his user has been created with the password you have chosen for him.

Note: the user can change the password you have given to a password of their own choice in the Aproplan profile settings.

2. The user already exists and was not linked to an account/contract:

After 2-3 minutes, the user will be added to your account (and contract) with the selected license. In order to use the license, the user will have to login again if the user was already logged in.

3. The user already exists and was already linked to another account/contract:

You will receive a warning and you have to contact your Aproplan Account Executive in order to request the modification.

4. The user already exists as a "draft":

You will receive a warning saying that the user exists as a "draft". It means that the user has been added to a project but has not been invited yet. You cannot invite the user to a project from the license portal. The user has to be invited to a project in order to finish the creation. Then you can give the user a license (see case 2).

Note: For all other modifications, please contact your Aproplan Account Executive directly.

Contact page

If you want to contact your dedicated Aproplan Account Executive, you can do it via the contact page by clicking on "Contact" in the menu bar:

Fill in the subject and your request then click on the "Submit" button. Of course, your Aproplan Account Executive is also available via e-mail or phone.
