What is the License Portal
The License Portal allows your organisation to manage existing paid licenses without having to contact customer support for every change. The portal is designed to give customers more autonomy in managing their licenses.
The License Portal is available by default for customers with 50 or more paid licenses. If your organisation has fewer than 50 paid licenses but would still like access to the License Portal, this is possible through a paid service. Please contact your Customer Success Manager or Account Executive for pricing and activation.
From the portal you can:
View your active contracts
View available and used licenses
Add new licensed users
Remove licenses from users
Change a user's license type
⚠️ Important
The License Portal allows you to manage existing licenses, but commercial changes (additional licenses, contract amendments, renewals, etc.) are handled by your Account Executive or Customer Success Manager.
Logging in
You can access the License Portal directly via: https://aproplan.my.site.com/LicensePortal
Note: Your License Portal credentials are not linked to your application login credentials. They are separate accounts.
Introduction
The license portal has 3 sections:
Home: an overview of the active contract(s) and some additional details.
Licenses: an overview of all the users with the license information. On that page, you can add/edit/remove licenses or users.
Contact: you can directly contact your Account Executive or Customer Success Manager from that page.
Home Page
You have an overview of all active contracts linked to your account. You can consult:
Contract start and end date
Number of purchased licenses
Number of used licenses
Number of available licenses
Note: You will not see old contracts or contracts with a start date in the future. If you want to make a change or notice that something is incorrect, please contact your Account Executive. No actions can be performed directly on this page.
Licenses Page
This is the page you'll use most often. Here you can:
Search for users
Filter by license type
Add users & licenses
Remove users & licenses
On the top of the page, you have the general information with the number of remaining and used licenses for all your active contracts. Underneath, you have the license information. You can:
Filter on a license type (A)
Search to find a user (B)
Sort on the different columns
Adding a User
Click "Add License"
Complete following fields in the pop-up window and click on "Save":
Display name
Email address
License type
Contract number (you can't assign a license if you don't have an available license on your contract)
When you click on the "Save" button, there can be four different cases:
1. The user did not exist:
After 2-3 minutes, the user will be created and added to your account (and contract) with the selected license. You have to warn him that his user has been created with the password you have chosen for him.
Note: the user can change the password you have given to a password of their own choice in the application profile settings.
2. The user already exists and was not linked to an account/contract:
After 2-3 minutes, the user will be added to your account (and contract) with the selected license. In order to use the license, the user will have to login again if the user was already logged in.
3. The user already exists and was already linked to another account/contract:
You will receive a warning and you have to contact your Account Executive or Customer Success Manager in order to request the modification.
Note: For all other modifications, please contact your Account Executive or Customer Success Manager directly.
Editing a License
In order to change a license type or the contract, you have to select the user and click on the "Edit License" button.
You have to choose the license type and the contract and click on the "Update" button. After 2-3 minutes, the user will have the selected license. The number of Used licenses will increase and the number of Remaining licenses will decrease.
Note: You cannot give a license if you don't have an available license on your contract. Please go to the Home page to see the number of remaining licenses on the contract. You can select more than one user at a time.
Removing a License
In order to remove a license, select the user by clicking the checkbox left of his name and then click on the "Remove License" button:
After 2-3 minutes, the user will have a Free license. The number of Used licenses will decrease and the number of Remaining licenses will increase. You can then use that license for another user.
Note: You can select more than one user at a time.
Removing a User
To remove a user, select the user by ticking the checkbox to the left of their name, then click "Remove Users".
Before the selected user(s) are actually removed, a confirmation pop-up will appear. Click "Remove Users" again to confirm the action.
After 2-3 minutes, the user will be removed from the contract AND lose the paid license. The number of Used licenses will decrease and the number of Remaining licenses will increase. You can then use that license for another user.
Note: You can select more than one user at a time.
Warning: This user will no longer be visible in the License Portal. In order to undo this, please contact your Account Executive or Customer Success Manager directly.
Export licenses
Need an overview of all users and their assigned licenses? You can easily export this information to Excel.
To export your licenses:
Go to the Licenses page.
Click "Export Licenses".
An Excel (.xlsx) file will automatically be sent to the email address you use to log in to the License Portal.
The exported file contains an overview of your licensed users and their associated license information, making it easy to perform internal audits, review license allocation or share the information with colleagues.
Contact page
If you want to contact your dedicated Account Executive, you can do it via the contact page by clicking on "Contact" in the menu bar.
Fill in the subject and your request then click on the "Submit" button. Of course, your Account Executive or Customer Success Manager is also available via e-mail or phone.
