The Participants Section

The Participants section in Aproplan shows a complete list of users for either the entire project or a specific list, depending on the level you are viewing. It is the central place to add and invite users, assign users to a list, view contact details, and manage participants’ roles and access rights.

For a complete overview of the participants section, follow the steps below:

1. Access your project and start by clicking on the Participants section in the navigation menu on the left side of the Aproplan interface. In the top-left corner you can choose to view the participants section on entire project level, or list level:

In the particpants section, you can choose to view the:

  • user's name

  • user's access rights on the entire project

  • user's e-mail address

  • user's company

  • user's role (or function) in the project

2. When hovering over a participant with your cursor, you will see three functions appear:

A) Send tasks e-mail: with this function, you can send the tasks assigned to a participant in one click.

B) Edit participant (only if the participant has already been invited. Otherwise, the invitation icon will be displayed on the place of the pencil icon).

C) Click on the three vertical dots to view details of the participant, delete the participant, or edit the if the participant is not invited yet.


​Note: If the function is displayed in light grey, it means you do not have the necessary access rights on the whole project. Please contact the administrator of the project to get the correct access rights.

3. To add a participant, click on the green plus "+" button in the bottom right corner:

4. You can also hover with your cursor over the green plus "+" button and a white button with 2 arrows appears above. Clicking on the white button allows you to import a new participant from another project:

5. A new window appears where you can choose which project you would like to import participants from. Once you have chosen the project, you can select the checkboxes next to the users and then click on the green "Import" button to import:

6. Finally, on the top-right corner of your screen, you will find a suitcase icon. Click on it to manage the participants:


7. After opening the participants management screen, you will be able to manage:
