If you're managing multiple projects or working across sites, the Cross-project module gives you a clear overview.

It helps you optimize resource use, prevent double bookings, and stay on schedule by allowing you to view, check, update progress and assign resources across all projects.

How to use Cross-project

The Cross-project module is an add-on module that needs to be activated on your account. To enable it, please contact our support team.

Once activated, you can access it via the 'Cross-project' tab in the main menu.

Personal settings for your Cross-project view

Default Views

  • The Cross-project page opens in Gantt view by default.

  • To switch to Table view, use the view selector at the top of the page.

Layout Settings

  • By default, each row displays the task name.

  • You can modify the layout to also show the project name on each line.

  • When hovering over a task name, the project name is displayed as a tooltip.

  • To view full task and project names:

Expand your screen display or zoom out in your browser.

Export Options

  • The current view can be downloaded as a CSV or PDF file.

  • You can also export a detailed report, which includes the audit trail.

Additional Features

  • A holiday calendar can be added to reflect non-working days.

Note: Adding a holiday calendar in Cross-project does not affect individual project schedules. To ensure tasks are adjusted for non-working days, the holiday calendar must be added directly in the project settings.

Maximizing Workspace

  • Click the filter icon with a line through it to hide the filter panel and expand the view.

  • You can also collapse the left-side panel for additional screen space.

Filter on tasks and save views

The left side panel shows both your personal saved views and your company’s shared views.

Default Personal Views

You begin with four default personal views. These can be edited or deleted if they don’t fit your needs. You're also free to create as many views as you like.

Example of your default views

  • All Tasks - This view shows all tasks across the projects you have access to. As the name suggests, no filters are applied in this view.

  • Current Tasks - This view is filtered to show tasks that start within the last 7 days and are due within the next 42 days. It helps you focus on what's currently in progress or coming up soon.

Using Filters

To apply filters, you can either:

  • Start with one of your saved views and add/remove filters to it, or

  • Begin with the All Tasks view to start from scratch.

You can filter based on task details, project details or company name.

1. Select the criteria you want to filter by.

2. Click Apply to see the results.

3. Add more filters as needed to narrow your search.

In the example below, the filters are set to show all tasks where the task name contains "building control" and the task status is not already Signed-off.

Tip: Using tags on tasks makes it easier to create and manage filters in Cross-project.

Saving a Filter as a View

To save a filter for easy access later, click "Save View" on the left side of the screen.

You’ll then choose whether to save it as a:

  • Personal view – visible only to you, or

  • Company view – shared with all users in the company.

Note: Only company owners or admins can save views to company.

Update progress across projects

When you click on a task in Cross-project, the side panel to the right opens, just like in a single project view.

From here, you can perform the same actions as in a single project:

  • Change task dates

  • Assign users

  • Update status

  • Add photos

  • View the audit trail at the bottom of the side-panel

If you need to view the task within its original project, you can choose to open it in a new tab.

Bulk Actions

You can select multiple tasks, even from different projects, and perform several bulk actions, similar to those available in a single project view.

Simply choose the tasks you want to update, then select the desired action from the bulk options menu.
